Individual Notary — User Guide

Your professional notary dashboard for managing sessions, quotes, clients, and revenue.


Overview

The Individual Notary role is for licensed Notary Public professionals who offer notary services through the estateTT marketplace. You are visible to buyers and sellers who need notarization services, and you manage your entire workflow — from receiving quote requests to conducting live online sessions and tracking your fees.

When you log in, you land on your Dashboard. Use the sidebar on the left to navigate between sections.


Getting Started

Follow these steps to get your Individual Notary account set up and ready to offer notary services through the estateTT marketplace.

Step 1: Sign Up

Navigate to the estateTT sign-up page and select "Notary Public" as your role. Enter your email address, create a password, and provide your basic information. You'll receive a confirmation email to verify your account.

Step 2: Complete Your Profile

After logging in, navigate to Settings > Profile to add your professional bio, photo, and license information. A complete profile builds trust with clients and ensures the platform has accurate information about your qualifications.

Step 3: Set Up Payment Preferences

Navigate to Settings > Payment Preferences to connect Stripe or Payoneer to receive payouts directly. This ensures you can receive payments for your services without delays.

Step 4: Configure Your Availability

Navigate to Availability to set when you are available for sessions. Block out the days and times you can conduct sessions. Sessions are only scheduled within the windows you define here.

Step 5: Your Public Profile is Created

Your public profile is automatically created and visible in the notary marketplace. Clients can now discover your services, request quotes, and schedule sessions with you.

Note: Analytics requires the analytics feature to be enabled. Pipeline shows a badge for new leads. Messages and Notifications show badges for unread items.

Go to: Overview in the sidebar (the grid layout icon)

Overview is your home screen showing key metrics at a glance: Active sessions (live or upcoming notary sessions), Upcoming appointments (scheduled signings), Pending quotes (quote requests awaiting your response), and Monthly revenue (your earnings this month).

What You Can Do

  • View active sessions — see live or upcoming notary sessions. This helps you understand your current workload.

  • Check upcoming appointments — see scheduled signings. This helps you prepare for upcoming sessions.

  • Monitor pending quotes — see quote requests awaiting your response. This helps you respond promptly to potential clients.

  • Track monthly revenue — see your earnings this month. This helps you understand your financial performance.

Using Overview Effectively

  • Check Overview regularly to stay informed about your practice performance
  • Use active sessions count to manage your schedule effectively
  • Monitor pending quotes to respond promptly to potential clients
  • Track monthly revenue to understand your earnings trend

Pipeline

Go to: Pipeline in the sidebar (the briefcase icon — shows a badge for new leads)

Pipeline is where you track prospective clients who have shown interest in your services. See what they are looking for (type of notarization, timeline). Reach out to warm leads directly through Messages. Move leads through your pipeline stages.

What You Can Do

  • View prospective clients — see clients who have shown interest in your services. This helps you understand potential business opportunities.

  • Understand client needs — see what they are looking for (type of notarization, timeline). This helps you tailor your responses.

  • Reach out to leads — reach out to warm leads directly through Messages. This helps you convert leads into clients.

  • Move leads through stages — move leads through your pipeline stages. This helps you track progress and identify bottlenecks.

  • Review pipeline regularly to identify potential clients
  • Respond to new leads promptly to increase conversion rates
  • Use pipeline stages to track lead progress
  • Reach out to warm leads to move them through the pipeline

Active Sessions

Go to: Active Sessions in the sidebar (the clock icon)

Active Sessions is where you manage your scheduled and in-progress notary sessions. View all upcoming and live sessions. Join a session by clicking Join Session. Sessions move through: Scheduled → In Progress → Completed.

Inside a session you have access to: Live video (real-time video call with the parties), Whiteboard (draw or annotate to explain documents), Document Upload (share and review documents during the signing), and Digital Signature (collect signatures on the spot).

What You Can Do

  • View scheduled sessions — see all upcoming and live sessions. This helps you prepare for upcoming sessions.

  • Join sessions — join a session by clicking Join Session. This allows you to conduct the notarization.

  • Use live video — use real-time video call with the parties. This facilitates remote notarization.

  • Use whiteboard — draw or annotate to explain documents. This helps clarify document details.

Appointments

Go to: Appointments in the sidebar (the calendar icon)

Appointments is where you view and manage your scheduled appointments: Upcoming signings and client meetings, Session details including property and parties involved, and Reschedule or cancel appointments as needed.

What You Can Do

  • View upcoming appointments — see upcoming signings and client meetings. This helps you prepare for scheduled sessions.

Availability

Go to: Availability in the sidebar (the activity icon)

Availability is where you set when you are available for sessions: Block out the days and times you can conduct sessions, Mark days when you are unavailable, and Sessions are only scheduled within the windows you define here.

  • Set availability windows — block out the days and times you can conduct sessions. This helps you manage your schedule.

  • Mark unavailable days — mark days when you are unavailable. This prevents scheduling during those times.

My Services

Go to: My Services in the sidebar (the shield check icon)

My Services is where you manage the types of notarization services you offer: Property signings, Legal document notarization, Oath administrations, and Set pricing and descriptions for each service.

What You Can Do

  • Define service offerings — manage the types of notarization services you offer. This helps clients understand your capabilities.

  • Set pricing — set pricing and descriptions for each service. This helps you communicate your fees clearly.

  • Add service descriptions — add descriptions for each service. This helps clients understand what each service includes.

Using My Services Effectively

  • Keep service offerings up to date to reflect your capabilities
  • Set competitive pricing based on market rates
  • Use clear descriptions to avoid misunderstandings
  • Add new services as you expand your capabilities

Clients

Go to: Clients in the sidebar (the users icon)

Clients is where you track your past and current clients: Client name and contact details, Session history (all the signings you have done for them), and Notes and follow-up reminders.

What You Can Do

  • View client details — see client name and contact details. This helps you stay connected with your clients.

  • Review session history — see all the signings you have done for them. This helps you understand your relationship with each client.

  • Add notes — add notes and follow-up reminders. This helps you remember important details about each client.

Verifications

Verifications is where you manage identity verification tasks: Verify client identities before notarizing documents, Track verification status for each client, and Maintain an audit trail of verifications.

Quotes

Go to: Quotes in the sidebar (the file text icon)

Quotes is where you respond to quote requests and manage your quotes: Accept or decline quote requests, Submit your fee amount and available session times, and Track quote status: Draft, Sent, Accepted, Declined.

Once the client accepts your quote, a session is automatically scheduled.

What You Can Do

  • Respond to quote requests — accept or decline quote requests. This helps you manage incoming business opportunities.

  • Submit fees — submit your fee amount and available session times. This communicates your pricing and availability to clients.

  • Track quote status — track quote status: Draft, Sent, Accepted, Declined. This helps you understand the status of your quotes.

Assessments

Go to: Assessments in the sidebar (the clipboard check icon)

Assessments is where you view and manage assessment-related tasks: Track assessment requests, Review and complete assessments, and Link assessments to specific clients or sessions.

What You Can Do

  • Track assessment requests — track assessment requests. This helps you understand pending assessment tasks.

  • Review assessments — review and complete assessments. This helps you fulfill assessment requirements.

  • Link assessments — link assessments to specific clients or sessions. This helps you organize assessments by context.

Documents is where you store and organize your notary documents: Signed and notarized documents, Client records, Compliance documentation, and Organize by client or session.

What You Can Do

  • Upload documents — upload signed and notarized documents. This ensures you have a secure record of your work.

  • Store client records — store client records for reference. This helps you maintain organized client information.

  • Maintain compliance documentation — maintain compliance documentation. This ensures you meet regulatory requirements.

  • Organize documents — organize documents by client or session. This helps you find documents quickly.

Using Documents Effectively

  • Upload documents promptly after sessions to ensure they're available
  • Keep documents organized by client to avoid confusion
  • Use descriptive file names to make documents easy to find
  • Share documents securely only with authorized parties
  • Maintain compliance documentation for legal protection

Revenue

Go to: Revenue in the sidebar (the dollar sign icon)

Revenue is where you track your notary earnings: Professional earnings (total from completed and paid sessions), Pending in pipeline (fees quoted but not yet paid), Lifetime earnings (all-time total from paid sessions), Earnings trend chart over time, and Transaction history of all sessions with payment status.

Payment Integration: Click Configure Payment Integration to connect Stripe or Payoneer. You receive 100% of your service fees directly in your own account. estateTT does not intercept or hold your funds.

What You Can Do

  • View professional earnings — see total from completed and paid sessions. This helps you understand your income.

  • Track pending earnings — see fees quoted but not yet paid. This helps you understand expected revenue.

  • View lifetime earnings — see all-time total from paid sessions. This helps you track your cumulative earnings.

  • Review transaction history — view transaction history of all sessions with payment status. This helps you track your payment activity.

  • Monitor earnings regularly to understand your financial performance

  • Use transaction history for accounting and tax purposes

Analytics

Go to: Analytics in the sidebar (the bar chart icon — requires analytics feature enabled)

Analytics is where you track your notary practice performance: Session volume over time, Revenue trends, Client acquisition sources, and Service popularity.

What You Can Do

  • View session volume — see session volume over time. This helps you understand your workload trends.

  • Track revenue trends — review revenue trends. This helps you identify patterns in your earnings.

  • Analyze client sources — see client acquisition sources. This helps you understand where your clients come from.

  • Monitor service popularity — see service popularity. This helps you understand which services are most in demand.

Messages

Messages is where you communicate with clients and other parties: Receive quote requests and respond to them, Follow up with clients after sessions, and Receive reminders about upcoming appointments.

Notifications is where you stay informed about important events: New quote requests, Session reminders, Payment confirmations, and Client messages.

What You Can Do

  • Receive quote request alerts — get notified about new quote requests. This helps you respond promptly to potential clients.

  • Get session reminders — receive session reminders. This helps you prepare for upcoming sessions.

  • Receive payment confirmations — get payment confirmations. This helps you track your earnings.

  • Get client message alerts — receive alerts about client messages. This helps you stay responsive to clients.

Using Notifications Effectively

Settings

Workflow: Completing a Notary Session

  1. Receive a quote request — you will be notified when someone requests your services
  2. Submit your quote — go to Quotes, propose your fee and availability
  3. Quote accepted — once the client accepts, a session is scheduled automatically
  4. Join the session — go to Active Sessions and click Join at the scheduled time
  5. Conduct the session — use live video, whiteboard, and document sharing to complete the signing
  6. Record payment — after the session, mark the payment as received through your payment integration
  7. Revenue updated — your earnings in Revenue are updated automatically

Troubleshooting

Cannot join a session: Make sure you are logged in and the session has not expired. Check your internet connection.

Payment not received: Verify your payment provider (Stripe or Payoneer) is fully connected and verified in Settings. estateTT does not hold funds — payments go directly to your connected account.

Quote request not visible: The request may have been sent directly via Messages. Check your Messages tab.
